SCOTIA HOUSE COVID-19 REQUIREMENTS AND INFORMATION TO COLLECT

Firstly, may we say, that we are so excited to be welcoming you to our luxury Bed and Breakfast, Scotia House in Harrogate!

As restrictions ease and venues reopen it is essential that we have the right tools in place to help prevent transmission of COVID-19.  To support outbreak management, we are required to comply with the Collection of Contact Details Regulations and display an NHS QR code poster and request all guests check in to Scotia House Bed and Breakfast, Harrogate with their contact details.

Should you not have the NHS app, we have a system in place to collect all parties’ names and contact details.  All individuals will be asked to check in with either the NHS QR code, or by providing their contact details. 

However, we have been advised to collect the information prior to your arrival and store this information electronically. 

We are now required by law to request that every individual, on entering Scotia House, scan the NHS QR code or provide their contact details upon arrival, not just the lead member of the group. This is to make sure that every person can receive timely public health advice if they may have been exposed to COVID-19.  

We are obligated to:

«  Ask every customer or visitor (over the age of 16) to provide their name and contact details

« Keep a logbook of all guests and their contact details

«  Display an official NHS QR code poster for ‘check in’ purposes

«  Request that all customers and visitors scan the NHS QR code or provide their contact details.  Should the guest choose to scan the NHS QR Code we are required to check your phone screen to ensure that you have successfully checked in.

«  Keep a record of all staff including shift times on a given day and their contact details

«  Provide an alternative method to collect contact details which does not require ownership of a smartphone.

«  Keep information securely for 21 days and provide it to NHS Test & Trace if requested.

«  Adhere to General Data Protection Regulations (GDPR)

These Regulations are essential for protecting public health objectives and supporting the safe reopening of businesses.  As COVID-19 prevalence drops, enhanced contact tracing will become increasingly important in enabling local teams to respond to outbreaks quickly.

Compliance checks will commence from 12 April 2021 for those businesses able to reopen – and from May for all other venues.  Scotia House plans to adhere and comply with the Collection of Contact Details Regulations as breaches of these requirements will result in penalties of up to £10 000.00.

All hospitality venues are required to take reasonable steps to refuse entry to those who refuse to participate.  This means should our guests not comply with the requirements we will have no alternative to refuse entry.   

NHS Test and Trace will use contact tracing information to identify venues where other individuals present may have been exposed to COVID-19 and need to be contacted. If this happens, we will need to provide our logbook.

Individuals will be contacted with a ‘warn and inform’ message – this is not an instruction to self-isolate; it simply reminds individuals to follow guidance and look out for symptoms.  In some instances, individuals may be requested to book a test. App users who checked in with the NHS QR code will receive this as a notification via their app, and non-app users will be sent this message via SMS.

All information collected from our guests will be stored in accordance with the guidance provided by The Information Commissioners Office (ICO) to ensure that we are GDPR compliant.

Understanding and implementing the Collection of Contact Details Regulations effectively to support NHS Test and Trace is vital to protecting public health, continued easing of restrictions, and the return to a normal way of life.
